Summary:
This position assists with the administrative coordination of the employee onboarding process and completes core HR tasks as required, which may include posting vacant positions, making job offers, conducting background checks, personnel record keeping system, and assisting HR with Relicensures and Monitorings.
This position may handle high level HR tasks and provide back-up support to the HR Team.
Specific Job
Responsibilities:
On-boarding Back up for the hiring process, to include offers, onboarding, terms, and organizational charts.
Assists with posting of vacant positions on CareerSource, colleges or university job boards, Craigslist, and other recruitment websites.
Posting to the Florida Coalition for Children (FCC) website and LinkedIn depending on position, or similar sites as needed.
Responsible for monitoring the new hire onboarding process by ensuring timely and accurate completion of new employee paperwork and notifies Generalist on weekly basis.
Back up for the Live-scan for Level 2 Federal Background Screen fingerprint machine for new hires, volunteers/interns and current YFA staff who require reprinting for 5-year re-screens.
Prepare job descriptions for new employees to sign during fingerprinting, or send if not fingerprinting, as well as Affidavit of Good Moral Character (AGMC).
Conduct out of State Adam Walsh, local criminal background checks, 911 calls to service (for Shelters) and other relevant checks as required by law or policy.
Upload education, Driver's License, and certifications into the HRIS database.
Enter new hires into the Department of Juvenile Justice JJIS Staff Verification System.
Tracking onboarding status and updating the HR Generalist.
Personnel Document Management Manage tracking mechanisms to ensure proper follow-up and receipt of HR related paperwork and monitors timely receipt of documents.
Example:
I9 completion, signing of specific documents, 24 months of employment history.
Update and organize employee job descriptions and ensure that updated job descriptions are available to all employees on SharePoint.
Tracks and communicates probationary performance evaluations that are due, following up to ensure that evaluations have been completed timely, and if not, reporting to program management which evaluations remain outstanding.
Responsible for the organization, coordination, and accurate maintenance of personnel files, including preparation of files for audit/QI purposes for all Relicensures and Monitorings for HR related items.
Assists with the oversight of employee paperwork sent to supervisors for completion or return, such as auto insurance requests, driver's licenses, five-year background re-screens, updated HR forms, plans and handbook; and ensures that all personnel files are accurate and complete.
Prepares and completes needed items for all personnel record's requests.
Handles annual certification renewals for Case Managers and ensure timely renewal and payment.
Submits HR related monthly reports to funders on time.
Example:
IG reference checks, RGC background check.
Handles any Education Assistance applications and answers any questions related to Education Assistance.
General HR Responsibilities Assists with the organization, coordination, and daily workflow of HR tasks.
Process monthly invoices for 3rd party verifications, Medical Toxicology (drug screening), and other invoices as necessary and handles petty cash.
Conducts other duties as assigned by immediate supervisor or management.
Trained and authorized to access protected health information.
Requirements:
Education &
Experience:
AA Degree in related field preferred; 2
years related work experience; computer literacy including word processing/spreadsheet.
Experience with background screening procedures for non-profit and/or Level II backgrounds preferred.
Knowledge and Skills:
Exceptional IT skills, including Microsoft Suites and HRIS systems; Knowledge of principles and practices of personnel administration, effective oral and written communication skills, excellent interpersonal skills.
Tasks require program knowledge, a high level of confidentiality, and a high level of autonomy.
Physical Requirements:
Ability to bend, stand, lift and carry 30
pounds.
May include extended periods of time at a keyboard.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
